How we handle your information, protect the privacy of your work, and help you manage your data.

Who we are

QuantaDocs is operated by Jump Assembly Limited, New Zealand. This policy applies to QuantaDocs on Android and iOS, including versions distributed through Google Play and the Apple App Store, and its associated account, cloud storage, payment and AI services. It also covers our website contact and data-deletion request forms.

QuantaDocs is a business application for creating and managing professional reports. Our customers may also use it to store information about their own customers.

Information we handle

Account information
Your email address is used to identify you when you log in and to associate your information with your account. If you use Google sign-in, we also receive the Google account information used to authenticate you.
Customer details
Information that you or your organisation enter about your customers. The details stored depend on what you add to QuantaDocs.
Reports, photos and files
The reports you create, photos you capture or add, and other files you upload. These may contain personal information depending on their contents.
Location information
GPS location when prompted for a feature such as tagging a photo with its location. Location attached to a photo or report becomes part of that stored content.
Payment information
Payments are handled through Stripe, which processes the information provided during payment.
Support correspondence
Information you provide when contacting us, including details you ask us to review to help resolve a support request. Our data-deletion form collects your organisation name, company name, name, account email, confirmation of authority and any additional details you provide so we can verify and respond to the request. Website forms also use spam verification, which processes technical information such as your IP address.

How we use information

We use information to identify account holders, provide report creation and storage features, save photos and files, add requested location information, process payments, provide AI features and respond to support or privacy requests.

QuantaDocs does not show advertisements or sell your data. The app currently does not use analytics or crash-reporting services.

Camera and location

QuantaDocs uses your device camera to capture photos for your work. It uses GPS when prompted for a location feature, such as tagging a photo.

You can manage camera and location permissions in your device settings on Android or iOS. If you deny or turn off a permission, features that depend on it may be unavailable. Turning off a permission does not delete information already saved in your account.

Google sign-in

If you choose Google sign-in, we use the account information supplied through that sign-in process to authenticate you and connect you with your QuantaDocs account. Google also processes information as the sign-in provider.

You can manage QuantaDocs' connection in your Google Account settings. Removing that connection does not itself delete your QuantaDocs account or stored reports; use the deletion options below.

Optional AI features

You choose whether to use QuantaDocs' AI features. Only files you upload directly to an AI feature are sent to OpenAI for processing to provide that feature. Other files and reports stored in your QuantaDocs account are not automatically sent to OpenAI.

Files you choose to upload may contain personal information, such as customer details, report text, photos or location information. Any such information in those files is included in the content sent to OpenAI. Only upload content you are authorised to share for this purpose.

You can use QuantaDocs without uploading files to the AI features.

Your choices and consent

You choose which customer details, photos and files to add to QuantaDocs and whether to use location or AI features. You can withdraw camera and location permissions in your device settings at any time and stop sending files to the optional AI features.

Where we rely on your consent to process personal information, you can withdraw that consent by contacting hello@quantadocs.com. Withdrawal applies to future processing based on that consent; it does not undo processing already carried out. To remove information already stored, use the account and data deletion options below.

Service providers

QuantaDocs uses external services to deliver its features:

  • Microsoft Azure, including Azure Storage: cloud infrastructure and storage for photos, reports and uploaded files.
  • Google: authentication when you use Google sign-in.
  • Stripe: payment processing.
  • OpenAI: processing files you choose to upload directly to the optional AI features.
  • Cloudflare Turnstile: spam protection for website contact and deletion-request forms.
  • Resend: delivering website form submissions to our team by email.

QuantaDocs also uses PostgreSQL databases to store account information and customer records.

Service providers receiving personal information from QuantaDocs must protect it to a standard at least equivalent to the protections described in this policy and required by applicable privacy and app-store requirements. They may process that information for the purposes described in this policy and to meet their legal obligations.

Storage and access

Your account information, customer details, photos, reports and uploaded files are stored in the cloud under your account. Data is hosted in Australia, New Zealand or the United States depending on the customer's location. This may involve storing information outside your country of residence.

Customer content is treated as private. Jump Assembly Limited accesses that content only when requested for support purposes.

Access is controlled through signed-in accounts and organisation permissions. Authorised colleagues and organisation administrators can access photos, reports and other content available to them within the organisation.

If you add information about your own customers, you are responsible for having the authority to provide that information and for explaining your use of QuantaDocs to them where required.

Data retention

We retain account information and customer content while needed to provide the service to you or your organisation. You can request deletion at any time.

We delete information covered by a verified deletion request from active systems within 30 days. Residual copies in backups expire within 90 days of that deletion. During that period, backup copies are retained for recovery purposes and are not used for ordinary business operations. If a backup is restored, the deletion request is reapplied.

We may retain records where required by law, such as billing or tax records, for the applicable legal retention period. We may also retain information needed to resolve an ongoing dispute or establish or defend a legal claim until that need ends. We explain any applicable retention exception when responding to a deletion request.

Account and data deletion

You can delete your QuantaDocs account online through your account page. You can also request account and data deletion by email, without signing in or reinstalling the app.

To request deletion of your organisation’s data, follow the steps and complete our data-deletion request form. We verify your identity, authority and the deletion scope before proceeding.

To request deletion of stored data, or help with account deletion, email hello@quantadocs.com.

  1. Include the email address associated with your QuantaDocs account.
  2. Tell us whether you want to delete your account, specific stored data, or both.

Do not send your password or payment card details. Uninstalling the app does not itself delete data stored in the cloud.

We may ask for information needed to verify your identity and your authority to delete the requested data. Deletion follows the 30-day active-system and 90-day backup periods described above.

Deleting a personal login does not automatically delete your organisation's shared customer records, photos or reports. Those records may still be needed by the organisation. We work with its authorised administrator on requests affecting shared records and explain what will be deleted or retained. Personal information that is no longer needed is deleted, subject to the retention exceptions above.

Access and correction

You can ask us for access to personal information we hold about you and request that incorrect information be corrected. Contact hello@quantadocs.com with details of your request.

If your information was entered by a business using QuantaDocs, you can also contact that business about its records and how it uses your information.

If you have a privacy concern, please contact us. You can also contact the New Zealand Office of the Privacy Commissioner about your privacy rights or a complaint.

Children

QuantaDocs is intended for adult business and professional users and is not directed at children. If you are concerned about a child's personal information being stored in the service, contact us.

Policy changes

We may update this policy as the service or our data practices change. The current policy will be available on this page with its updated date.
